Annual Meetings

Updating abstract instructions, flyer, and other materials for the website

  • Review abstract instructions and abstract form from previous years. If possible, indicate what modifications are desired rather than compose a new form, even if based on a preceding year's Word document. Alternatively, modify the HTML page from a previous year, using Dreamweaver.

  • Provide the meeting graphics as separate image files (e.g., jpeg), rather than only as embedded images in the flyer.

  • Please try attempt to follow existing naming conventions when creating new materials (e.g., flyer, brochure, preliminary program)

Documents and slides

  • If Powerpoint, open the file, select "Tools | Options" and be certain that "Allow fast saves" is not checked. Otherwise uncheck "Allow fast saves" and save the file. Also, consider removing animations, especially if the file will be converted to Adobe portable document format.
  • Open "File | Properties" and enter the title of the presentation or document, a subject (e.g., ACE 2004 Annual Meeting), author, and affiliation. Insert the date that the file was received and any other relevant information into the comments field. Proper identification will be useful if revised versions are provided and/or when the document gets emailed from one person to another or downloaded by someone who forgets where it came from.
  • Save the document with a name that follows an existing convention for files or that type. If there is none, choose a name which includes the category if there is one (e.g., ACE2004 for the 2004 Annual Meeting), the name of the first author, and the topic (e.g., ACE2003-Goodman-TrialistPerspective-20031003.pdf).
